Ordering Custom Ceramic Mugs from China: A Complete Guide for First-Time Buyers

Jul 13,2026

Who This Guide Is For

This guide is written for brand owners, marketing managers, procurement professionals, and promotional product distributors who are sourcing custom ceramic mugs from China for the first time, or looking for a better, more reliable supplier. If you are involved in launching a branded merchandise line, sourcing mugs for a hotel chain, organizing a promotional giveaway, or developing a retail product line, this guide will help you navigate the process with confidence.

Step 1: Choosing Your Mug Style and Material

Before you think about logos or packaging, the first decision is: what kind of mug do you need? This decision affects everything that follows.

Common Mug Sizes for Bulk Orders

  • 11oz (325ml) — The standard coffee mug, the most popular size. Most suppliers have existing molds, which means no mold cost and faster production.
  • 12oz (355ml) and 14oz (415ml) — Larger sizes for tea, latte, or soup. Popular in the hotel and restaurant industry.
  • 8oz (237ml) — Smaller espresso or tea cups for premium coffee shops and tea settings.
  • Custom shapes — Unique designs require a custom mold. Mold creation takes 10-15 days with a minimum order of 3,000 pieces.

Material Options

Stoneware is the most common choice for commercial mugs. Durable, chip-resistant, with low water absorption (1-3%). Ideal for promotional, hospitality, and retail mugs.

Porcelain is a premium choice with a finer, whiter finish. Less than 0.5% water absorption. Used for higher-end restaurants, luxury hotel amenities, and premium gifts.

Bone china is the highest grade, containing bone ash for a warm ivory tone and exceptional strength. Used for luxury hospitality and premium corporate gifts.

Tip: Ask your supplier what standard mug shapes and sizes they offer, and what material they recommend for your use case.

Step 2: Customizing Your Mugs with Your Logo

Can my logo go on these mugs? How is it applied? Will it last through dishwashing?

Screen printing is best for simple logos with 1-4 solid colors. Fired at 700-800 degrees C, the ink fuses permanently into the glaze. Dishwasher-safe. Cannot reproduce gradients or photographs.

Decal transfer is the standard for full-color logos. The design is printed onto transfer paper, applied to the mug, and fired at 750-850 degrees C. Supports unlimited colors, gradients, and small text. This is the most popular choice for brand logos.

Custom glaze color — the entire mug can be tinted to match your Pantone reference. A color library of 200+ formulations is available.

Artwork requirements: Provide vector format (AI, EPS, PDF) or high-resolution PNG at minimum 300 DPI. If you only have a low-resolution logo, your supplier can help recreate it.

Tip: Ask your supplier what decoration method they recommend for your design, and what the artwork format requirements are.

Step 3: The Pre-Production Sample

Before mass production begins, your supplier should create a pre-production sample. This is a physical mug with your actual logo applied, using the exact production method for your order. Check color accuracy, logo position, print quality, and overall feel.

  • Color accuracy — Hold the sample next to your brand color reference.
  • Logo position and size — Is it placed correctly and proportioned well?
  • Print quality — Are the lines sharp? Are the colors vibrant?
  • Overall feel — Does the mug feel good in your hand? Is the rim smooth?

The sample stage is the most important quality checkpoint. Once you approve the sample, the factory has a clear reference for mass production. Samples ship by express courier (DHL, FedEx, UPS) and arrive in 3-5 business days.

Tip: Ask your supplier if they will provide a pre-production sample before mass production, and how long sample production takes.

Step 4: Production Timeline

Once the sample is approved, here is the typical production timeline:

StageTimeWhat Happens
Sample production7-10 daysMold prep, glaze matching, sample firing
Sample approval3-5 daysShipping, review, and any corrections
Mass production15-20 daysCasting, drying, firing, and decoration
Final inspection2-3 daysAQL inspection, food safety testing
Shipping prep3-5 daysContainer loading, documentation

Total lead time: 25-35 days from sample approval to shipment. Rushed production of 15-20 days is possible for an additional fee.

Tip: Ask your supplier what their current production schedule is and whether they can provide a timeline for your specific order.

Step 5: Quality Control

Every buyer wants to know: how do I know the mugs will be good?

100% visual inspection: Every mug is examined for surface scratches, glaze pinholes, uneven color, and handle joint quality.

Sampling inspection (AQL 2.5): A random sample is taken per ISO 2859 standards. From a batch of 3,000 mugs, 125 pieces are randomly selected and checked.

Food safety testing: Mugs are tested for lead and cadmium release per FDA or LFGB standards. A test report is provided with each batch.

Durability testing: Samples are tested for dishwasher and microwave safety to ensure the decoration holds up with regular use.

You can also hire a third-party inspection company (SGS, Bureau Veritas, Intertek) for the final inspection. A quality supplier will accommodate this.

Tip: Ask your supplier if they can provide the inspection report and food safety test results before shipment, and whether they allow third-party inspections.

Step 6: Packaging and Shipping

Mugs are fragile, and overseas shipping involves multiple handling points. Proper packaging is essential.

Standard packaging: Each mug wrapped in a poly bag or foam sleeve. Export cartons with internal dividers. 5-ply corrugated cardboard, palletized and stretch-wrapped.

Optional upgrades: Individual gift boxes with your logo, custom branded boxes, countertop display boxes, and kraft eco-friendly packaging.

Shipping methods: Most bulk orders ship by sea freight. A 20ft container holds 10,000-12,000 standard mugs. Sea freight to the US West Coast takes 15-20 days, to Europe 25-30 days.

Tip: Ask your supplier what is included in their packaging and what shipping terms (FOB, CIF, EXW) they offer.

Common Mistakes First-Time Buyers Make

1. Not requesting a pre-production sample. The sample is your only opportunity to verify quality before the full batch is produced.

2. Providing low-resolution artwork. A logo from a website will not reproduce well on ceramic. Use vector format or high-resolution PNG.

3. Not clarifying shipping terms. FOB, CIF, EXW — understand which applies to your order.

4. Underestimating lead time. Total timeline is 40-60 days. Plan backwards from your deadline.

Understanding Shipping Terms

EXW (Ex Works) — The supplier makes goods available at their factory. You arrange all transportation.

FOB (Free On Board) — The supplier handles everything until goods are on the ship. You handle ocean freight. This is the most common term.

CIF (Cost, Insurance, and Freight) — The supplier covers cost, insurance, and freight to the destination port. You handle import customs clearance.
